Who is responsible for your information?

ESSW is the controller of the personal information it uses to handle enquiries and manage customer relationships. Our company number is 03577690 and our registered office is Unit 5–7 Dean Court, Great Western Business Park, Yate, Bristol, BS37 5NJ.

Information we use

• Names, job roles, business contact details and the company or site you represent.
• Information you supply in emails, telephone calls, attachments, enquiries and correspondence, including project and equipment details where these identify an individual.
• Contact details and records needed for quotations, orders, service visits, hire arrangements, billing and resolving queries.
• Technical connection information, such as IP addresses and request details, processed by the website hosting service to deliver and protect the site.

We receive this information from you, or from your employer, colleagues or other contacts involved in the same project. Please only send personal information relevant to your enquiry. This website has no enquiry submission form or online checkout: its email links open your email application.

You can browse without sending us an enquiry. If you contact us, we need enough information to respond and, where appropriate, arrange the requested work. Without the necessary contact or project details we may be unable to do so.

Why we use it and our lawful bases

Our legitimate interests in answering enquiries, preparing quotations, communicating with business representatives and providing engineering services.

Entering into and carrying out a contract with you personally

Steps at your request before entering into a contract, or performance of that contract. When the contract is with your employer, we normally use legitimate interests for processing your business contact details.

Accounting, tax and other legal requirements

Compliance with applicable legal obligations.

Protecting the website and dealing with complaints or claims

Our legitimate interests in maintaining a secure service, resolving disputes and establishing, exercising or defending legal claims.

Sending an enquiry does not sign you up to a marketing mailing list. If we ask for consent for an additional use, we will explain that use separately and how to withdraw consent.

Who receives information?

Relevant ESSW staff use the information needed to handle your enquiry or work. Service providers may process information for email, IT support and website hosting. Our work email is provided through Google. This website is hosted using OpenAI Sites with Cloudflare infrastructure.

Where needed for your work or a legal obligation, information may also be shared with equipment suppliers, delivery providers, contractors, professional advisers, insurers or public authorities. Sharing should be limited to the information needed for that purpose.

International processing

Cloud email and hosting providers may process information outside the UK, including in the United States. The relevant processing arrangements must provide an applicable UK adequacy basis or appropriate safeguards, such as approved contractual provisions. Contact us for information about the arrangements and safeguards applicable to your information, or a copy of the relevant safeguards.

How long information is kept

Retention depends on the reason for keeping the information. For enquiries, the criteria are whether the enquiry remains active and whether related follow-up is reasonably needed. For customer and project records, the criteria include the duration of the relationship, ongoing servicing or warranty needs, applicable tax and accounting requirements, and the need to resolve complaints or legal claims. Information should be deleted or anonymised when it is no longer needed for these purposes.

Your rights

Depending on the circumstances, you can ask to access your personal information, correct it, have it deleted, restrict its use or receive a portable copy. Where processing relies on consent, you can withdraw it without affecting the lawfulness of earlier processing.

We may need information to verify your identity. Some rights have legal exceptions, which we will explain where relevant. This website does not carry out automated decision-making or profiling with legal or similarly significant effects.

Cookies and similar technologies

Cookies are small files stored on your device. Similar technologies can also store or access information on it.

The ESSW website pages do not set their own cookies or use browser storage, advertising pixels or visitor analytics. Images and fonts are served with the site. The directions link opens Google Maps only when you choose it; no map is embedded in the page.

The hosting platform may use separate access or security technologies, including those associated with signing in to a restricted site. Any platform sign-in is managed by the hosting provider, rather than by an ESSW customer account. Its notices apply to that service.

We have not added a cookie consent banner for optional tracking because no optional tracking is included in these pages. If this changes, this notice and any required consent or objection controls must be updated before the technology is used.

You can manage or remove cookies through your browser settings. Blocking essential access or security cookies may prevent access to a restricted site. External websites, including Google Maps and our existing company website, have their own privacy and cookie information.
